Congratulations you are about to learn four new
features about your business that 10 years ago was nearly impossible to gather.
- You are about to see consistent tracking of how many people come
into your business and do not purchase.
- You are going to see a very accurate hourly comparison of how many
customers come into your store compared to how many employees you have
scheduled to assist them.
- You are going to learn your average conversion ratios and how many
potential customers your sales team speaks with each day that do not purchase
and the actual value of these lost opportunities to your company.
- You are going to see a hot zone “customer overflow” report based on
your employee’s schedules and possible staffing deficiencies.
The basics of using eTRAXsales.com
- Go To web site
www.eTRAXsales.com and enter your user name and password. If you do not
have, this please call our office at 713-466-7177 and we will provide this for
you. Afterwards you will have complete control of security and may change or
edit anything you desire from Security located under Administration.
- There are many reports that TRAX provides. When you first open
eTRAXsales.com you are taken to the Traffic Count report. Here you will see
the total traffic counts for the day, week, month, quarter or year. The
default has been set for the week so you can more easily see if your overall
traffic has been improving or getting worse. Please notice the percentages at
the bottom of the columns, these make it much easier to spot trends.
- To focus on specific daily activity it is best to view the Hourly
Traffic Report, which provides a weekly analysis of the hours for each day of
any 7day period. Select the previous button to easily navigate the hourly
traffic history.
To start you must become familiar with the Revenue
Per Up Report. This is where you must enter your daily sales and number of
transactions into the report. This will take about ten seconds per day and will
provide you your conversion ratios, average sale and most importantly you’re
Revenue Per Opportunity. This number is the most important number we believe a
retailer can learn because it demonstrates your true level of performance. This
number can only be improved in two ways. #1 by improving your conversion
ratios, or #2 by improving your average sale.
- Open
the Revenue Per Up Report (5th dropdown) located under Traffic TRAX
Reports
- Select
Edit
- Enter
the number of invoices and the sales volume for the day
- Once
this simple process is complete you may analyze this report by week, month,
quarter or year for easy comparisons.
- The
primary benefit is that (for example) you have two locations that are very
similar in sales volume and discover that one has a much higher RPU. If you
can figure out how to get the lower location to the same Revenue Per Up as the
higher, you just found a way to substantially increase sales and profitability
in your company.
Staffing Analysis Report
has recently been enhanced so that your weekly staffing schedule will
automatically populate this report. It will provide automatic comparisons of
number of customers compared to sales coverage per hour. You will immediately
be able to identify areas of major improvement with this new information. Gary
Wilbers (14 store chain, Mid America Wireless) says that he got a consistent 15%
increase in sales from his ability to staff properly.
- Select
Administration then go to the bottom of the drop down and select <Scheduler>
- Select
<Enter New Employee> then <Add New Employee> for each associate and each
store.
- Select
<Schedule> and from the Employee drop down select each employee and edit their
weekly schedule. This schedule remains permanent unless you want to edit
their hours, which you may do anytime.
- Select
<All> on the Employee dropdown and insure that your weekly schedule is set up
the way you need.
- Once
completed this automatically populates your Staffing Analysis Report and your
Hot Zone Report
- Select
<Traffic TRAX Reports> from the drop down <Staffing Analysis Report> then
Select <Edit Sales Time Required> we recommend that you set this in the
beginning at 15 minutes meaning the average employee can comfortably work with
approximately 4 customers per hour. This can very easily be adjusted to any
factor you desire.

The Hot Zone Report (available August 20, will provide an instant
analysis of the hours where you did not have enough staff to cover the
customer traffic. It will display the hours where you have good coverage in
white, the hours where you needed at least one additional person in yellow and
the hours where you needed at least 2 additional employees in red.
Setting
the Mailman Factor.
This is the adjustable feature that allows you to subtract the non customer
traffic activity each hour throughout the week. It can be accomplished two
ways. #1 select the actual counts per hour or the preferred new method that
will be available August 30 is the ability to select a percentage of traffic
that will automatically reduce the counts per hour. To be conservative this
percentage will always reduce to the lowest possible number.
- Select
Administration and <Traffic Counter> then select <Set Mailman> this is where
you may currently enter the exact amount to be reduced per hour for each day
of the week. Once this task is completed it will permanently reduce the
counts for all reports by this amount.
We
encourage you to view each of the reports that are available with your new
system and we encourage your questions or comments. The old saying goes that
